JOB SUMMARY
The Communications Coordinator supports the Integrated Communications department in executing integrated campaigns across multiple clients. This position will be responsible for monitoring, analyzing, and fulfilling media plans, researching client/competitor advertising activity, and writing & facilitating press releases. The position coordinates the different stages involved in the process of communication planning, execution, and reporting. The Communications Coordinator will work closely with all members of the Integrated Communications team, as well as media reps, analytics/planning staff, and account service counterparts.

The Communications Coordinator will assist across all aspects of the planning process, including vendor communication, submitting advertising paperwork, creating media schedules, trafficking ad materials, monitoring competitive activity, generating reports, coordinating press release materials, managing PR/social media calendars, etc.
REQUIREMENTS
Education & Experience
• BA, BS or MBA degree with emphasis in Marketing Communications, Media Management, Communications, Public Relations, or related field
• 0-2 years’ experience in marketing or PR
Required Qualifications
• Be self-motivated with a positive attitude in both independent and collaborative team environments
• Ability to effectively communicate with agency and client teams
• Demonstrated analytical and problem solving skills
• Strong working knowledge of Microsoft applications (Outlook, PowerPoint, Word, Excel)
• Effective time management and organizational skills with the ability to handle multiple priorities
• Extremely detail-oriented and thorough
• Strong professional writing skills
Desired Skills & Experience
• Basic understanding of closed loop marketing systems
• Comprehension of integrated media and the notion of lead-generating mediums working together
• Working knowledge of how search engines work and the principles of Search Engine Marketing
• Actively pursuing knowledge of the rapidly changing digital media landscape; hunger for knowledge of new media, technology, and marketing systems
• Understand the principles of web analysis and the use of web analytics tools
• Interest & passion for new media, marketing analytics, and closed loop marketing systems
• Ability to produce public relations materials
• Basic knowledge of media relations
• Understanding of how to use social media strategically on behalf of a business
• Previous experience getting work published would be beneficial
• Ability to work with venders to coordinate event planning logistics
• General working knowledge of PR software
Job Duties
• Research and contact reps for media rates, specs, circulation, etc. and compile information for team.
• Work with Media Planners and account teams to manage media deadlines and deliverables.
• Create advertising agreements & insertion orders; deliver insertion orders to media partners.
• Work with account team, creative team, and producer to communicate media deadlines & materials due.
• Coordinate scheduling, processing and trafficking of ads from inception to completion.
• Deliver digital ad materials to media partners.
• Handle media billing and invoices directly with billing department.
• Monitor media campaigns by spot-checking placements & maintaining tear sheets/digital screen shots.
• Work closely with analytics team to ensure proper website tagging & campaign tracking code usage.
• Work with media partners to receive media placement data/results for use in reporting.
• Coordinate campaign dashboard creation, working closely with media planners & creative designer
• Work with vendor for purchase & delivery of competitive advertising data; generate reports for clients.
• Assist in creating PowerPoint presentations for plan recommendations.
• Draft meeting notes/conference reports for communication-related meetings.
• Maintain & manage status document for the communications department.
• Prepare release distributions and other editor communication for PR lead to send out.
• Draft basic PR materials including news/product releases, media alerts, fact sheets, recipe pitches, client meeting summaries, status reports and other materials.
• Monitor publications for client media tracking reports.
• Carry out special media event planning activities and arrangements.
• Assist with the development and updating of media lists and other databases. Provide data output and other reports as requested by team members.
• Fulfill administrative duties including sorting, collating, editor sample mailings and others as assigned.
