Responsibilities
Marketing Associate – Sponsorship and Convention Coordinator
The Sponsorship and Convention Coordinator (the SCC) will serve all Southern Missouri industry teams and professionals.
The Objective for the SCC is to:Effectively and strategically assist SOMO’s industry teams and managing all public relations activities with the media and industry organizations including the management of all sponsorships and conventions approved by the MP and the respective industry teams.
The SCC will represent the BKD Pride Values at all times. This individual should mirror the passion for BKD that partners and team leaders exhibit. They should consistently be an advocate for BKD and work to promote BKD, its industry teams and its professionals externally.
The SCC’s job responsibilities include the following:
Conference Logistics
- Work collaboratively with health care and non-health care marketing professionals and team leaders in understanding what conferences teams will participate in each year.
- Prepare registration forms and submit required paperwork and payment for booth space and applicable sponsorships, with MP approval.
- Enter all payment and conference information into Smart Sheet and submit to accounting with MP approval (if the expense wasn’t included in the team-leader approved budget, obtaining team leader approval first is also required).
- Order ads as needed and supply logos and ad copy as needed.
- Order booth furnishings (i.e. carpet, electrical connections, side chairs, etc.) as needed, with MP approval.
- Communicate with industry marketing professionals and team leaders regarding decisions on what giveaways items are required for each conference and order all appropriate quantities (often on-line), with MP approval.
- Work with industry marketing professionals and team leaders to ensure that “Booth Draws” are planned appropriately for each conference (i.e. drawings, put-put, plinko, etc.) and are available for applicable conference with necessary supplies (i.e. signs, drawing jar, etc.). Be responsible for ordering and paying all conference related items, with MP approval.
- Ensure that all conference exhibits, games, give-away items, etc. are properly packed and shipped with the necessary form (shipping handled via the mail room)
- Arrange return shipping through third-party vendors as needed.
- Communicate hotel and conference venue information to conference attendee.
- Communicate with industry marketing professionals and team leaders about new conference opportunities that arise.
- Work with industry marketing professionals and team leaders to assess whether the conference was valuable and whether the team wishes to attend in the future.
Marketing Star Program

Work collaboratively with the Human Resources Coordinator who tracks the plans and works with coaches to identify who is included in the next annual constellation of Marketing Stars.
- Field questions from participants and coaches regarding the completion of the plans throughout the year;
- Put together participant bios;
- Manage and order participant gifts for each level of award;
- Choose date and venue for the annual breakfast event;
- Coordinate the planning for the event with venue planner to ensure proper audio/visual needs and a nice breakfast are ready for the event;
- Prepare gifts and Marketing Star Certificates for each finalist; and
- Prepare script for MP and marketing partner.
Public Relations and Other Responsibilities
- Write (and coordinate approval through the firm-wide process) all press releases and marketing material releases and ensure distribution to applicable local and regional media outlets (and home towns for promotion announcements). This will include:
- Coordinating the Promotion Announcements for Senior Manager through Partner promotions sent to clients, prospects and referral sources;
- Issue monthly press releases for all team member promotions;
- Issue press releases for all BKD Foundation grants awarded; and
- Issue press releases for any other news worthy topics.
- Update team member bios as requested and submit through National Office tool for approval;
- Ensure that all BKD team members have updated photo on KEYnet
- Serve as the practice unit’s point person for Qvidian, pulling approved content for proposals and providing general proofreading as needed.
- Author Marketing Achiever stories quarterly about the winning teams and distribute rewards to winning team members or team leaders
- Write Success Stories for North Region newsletter and KEYnet;
- Submit Foundation minutes for North Region newsletter and KEYnet;
- Assist North Region Marketing and Business Development Leader with editing of Marketing Minutes and other items as requested;
- Handle writing/editing projects as needed for the practice unit;
- Update KEYnet for SOMO’s pages annually and as needed for monthly bulletins;
- Management of marketing material shelves for each SOMO office, to ensure they are fully stocked with current content, including
- Printing necessary quantity of solution sheets; and
- Ordering necessary folders and brochures as needed;
- Process all industry organization membership renewal forms, sponsorships and conference registrations and ensure that payment is made as requested by industry marketing professionals and team leaders and approved by the MP (essentially process all marketing payables for the practice unit)
- Review reports regularly for Christina in accounting to make sure all charges, including those allocated by National Office, are allocated to the correct niche teams.
- Monitor inventory of BKD logo items and request reorders as needed with MP approval;
- Research new options for BKD logo items when requested by industry marketing professionals and team leaders;
- Serve on SOMO’s United Way committee as needed; and
- Assist SOMO MP Executive Assistant with practice unit event setup/cleanup.
Qualifications
The SCC should be a proactive self-starter, a highly organized, detail oriented and responsible individual with a positive attitude. The SCC should be capable of managing their work independently when required, but should also be flexible in working collaboratively with other marketing professionals and our industry leaders.
