Graduate Assistant – Alumni Relations Events Coordinator
Begins: Spring Semester 2019 and is a year-round position.
Primary Purpose:
This GA position is responsible for, but not limited to, Alumni Association event management.
Description of Work:
- Serve as event coordinator for assigned MarooNation events
- Conduct online research; make phone calls to determine venue specifications/menus and availability to meet needs for events (adequate room size, cost, parking, AV equipment, etc.)
- Responsible for securing contracts, menus and all necessary documentation
- Define all costs associated with venues
- Receive, review, return signed contracts – work with alumni staff and University counsel as necessary
- Make payment arrangements prior to event(s)
- Communicate/inform staff of arrangements
- Conduct online research; make phone calls to determine venue specifications/menus and availability to meet needs for events (adequate room size, cost, parking, AV equipment, etc.)
- Prepare print and email event invitations for assigned events
- Assist with all alumni event preparation
- Packing and staging for events
- Shop at bookstore as needed for supplies
- Unpacking and clean-up activities following events (photos, thank you notes, etc.)
- Ship event supply boxes prior to long-distance events
- Prepare and ship “pop-up” event supplies to regional alumni events
- Packing and staging for events
- Support and attendance required at Homecoming activities
- Run errands as needed and completes other duties as assigned
- Assist with keeping the storeroom in order and monitoring event supplies
Required Skills:
- Academic background or work experience in event management, hospitality & restaurant management, public relations or a related field
- Computer skills required: Word, Excel, In Design
- Ability to navigate Internet for the purpose of venue research
- Must have a car and be willing to run errands, on and off campus
- Must be able to lift 30-50 pounds.
- Must be a team player with a positive attitude and excellent people skills
- Possess good verbal communication skills in working and social settings
- Attention to detail is imperative
- Be energetic, creative, reliable, flexible and able to work independently
- Must be punctual and dependable
- Willing to attend special events outside of office hours, as needed
Additional Requirements:
- Must meet the requirements of employment as stated by Missouri State Graduate College
- Should have a valid driver’s license if operating a vehicle to conduct University business
- Must work a minimum of 20 hours per week (during office hours Monday-Friday, but may include weekend/evening hours). Work schedule is set at the beginning of each semester; however, some flexibility is possible.
